Does Outlook or Outlook Cloud support email encryption?

 

Answer:

As of February 2017, Carestream has a partnership with a third party company, Protected Trust. Protected Trust provides email encryption through the use of an Outlook add-in (for locally hosted OrthoTrac clients) or through the use of an API access gateway (for OrthoTrac Cloud clients). Please see the appropriate sections below for setup for locally hosted clients, setup for Cloud clients, and how to send encrypted emails (both Cloud and locally hosted).   This setup information is now being added here on the Exchange for our clients to view for their own reference. 

 

 

Setup -- Locally Hosted OrthoTrac

Please note that clients looking for assistance with the integration should contact Protected Trust directly at support@protectedtrust.com  or via phone at 800-876-1422.

1. Visit https://www.protectedtrust.com/partners/carestream/

2. Fill in first and last name, organization, number of users, phone number and email address you will be sending from.

3. Choose the practice management software (CS Orthotrac) and click "Get Started".

4. You will receive an email from Protected Trust asking you to confirm the order. Complete the process to complete the Protected Trust account setup.

5. Visit https://www.protectedtrust.com/integrations/carestream-dental/  for directions on setting up the integration.

 

 

Setup -- OrthoTrac Cloud

The standard procedure for using email encryption with Outlook is to install a third-party add-in for Outlook itself. Unfortunately, due to security and permissions restrictions, this is not available to Orthotrac Cloud customers, so the standard solution will not work for them. Instead, Cloud clients will need to use Protected Trust's API access gateway.

 

The below steps provide an overview of creating a Protected Trust account and configuring Outlook with that account.

1. Visit https://www.protectedtrust.com/partners/carestream/

2. Fill in first and last name, organization, number of users, phone number and email address you will be sending from.

3. Choose the practice management software (CS Orthotrac Cloud) and click "Get Started".

4. You will receive an email from Protected Trust asking you to confirm the order. Complete the process to complete the Protected Trust account setup.

5. Visit https://www.protectedtrust.com/integrations/carestream-cloud/   for directions on setting up the integration (for Cloud clients). There are multiple steps involved:

-- Configure a 'Required Registration' message policy
-- Create API access credentials to use as your SMTP username and password
-- Open Outlook Cloud and configure its SMTP settings. If you want ALL emails to be encrypted, change the existing email account. If you want a separate account which you can use only when you want to send encrypted email, create a new account in Outlook Cloud using the Protected Trust settings and only select it when you want to send encrypted email.

 

 

Sending Encrypted Emails

Emails are encrypted using Protected Trust's servers. Recipients will receive a message that looks like this:

[Office or Doctor Name] (email address of office) has sent you a protected message.

For messages sent using Outlook Cloud, when the recipient clicks the "VIEW MESSAGE" link, they will be taken to the Protected Trust website to sign up for a free Guest account. The fields marked with a * are required, all others are optional. After clicking "Register", the user will be able to view the message.

 

For messages sent using locally hosted Outlook and using Protected Trust's add-in, when the recipient clicks the "VIEW MESSAGE" link they will be able to view the message without being required to sign up for a Guest account.
