OrthoTrac must address the problem with more than one person being able to have a chart open.

It is a first come first serve option but with no indication that someone else has the chart open.

It appears that you have entered charting notes and had them accepted only to discover weeks later that someone else had the chart open and when they wrote up their notes, the other notes are GONE! This is a problem for our DR and Treatment Coordinator. If the Dr forgets to close out, the TC writes up the entire medical history and appt notes and saves them. Then later when the Dr sees the patient still open after close of patients and writes his treatment plan and saves it, the TC notes disappear because he had the chart open first. This is a disaster and causes real problems.

Bare minimum there should be some indicator that someone has the chart open elsewhere so that you can get them out before you begin recording medical information.

When you are scheduling a NP and start entering NP data, it should hold/lockout  that appointment and not allow another scheduler to access that appointment at the same time. The one who finishes first gets the appointment. The other person is then left to explain to a new patient that the appointment that they wanted is now gone. It should hold/lockout the appointment until it release by the first person to access it.

Not sure how to describe a feature, previously if you typed a last name to look up a patient, and then you when into one of the charts when you exited it took you back to that list of last names, so that you could then enter a siblings chart. We would like that back.

Contact Experts is not user friendly. It is very difficult to build reports and figure out how to ask for things and get it to show the information that you are seeking on a report.

It would also be nice to be able to have a way to assign the pop-ups and alerts to certain types of staff, like financial pop-ups only for front desk, pop-ups about treatment for assistants, etc.  Right now if someone has lots of pop-ups everyone has to read each one and they may not need to see them all.

Dear Doug,

Yes, you are right we have all procedures linked to units, so that is not the problem.  The problem is that we have quite a few different procedures and some are time dependent and linked to other procedures.  For instance, debond elastics are linked to a check bite a week later and a debond a week after that and then delivery of retainers.  It is not effective use of clinic time for assistants to assign procedure codes in that long drop down list, they just want to type the next procedure or procedures in the comment section and have the appointment desk set up appointments with the procedures.  The comment section is way too limited in character space to do this, so that is why I was suggesting having an comment area that is unlimited in space that scrolls to save screen space and shows up in the scheduling screen but does not get posted to the appointment section so you don't have to worry about number of characters.

We have been using the cloud version of Orthotrac now for about a year and we do have a local version that updates to the cloud.  The local version is a bit faster when loading imaging.  When we go to imaging a small window pops up and asks if we want to acquire images.  If we select no, the images are brought up from our local server, if we select yes, then the images are loaded from the cloud.  We did this not so much for speed, but because we have our digital models stored locally and we access them through orthotrac database through a plug-in.  I am very happy with the ability to work both locally and in the cloud.  It also gives us some redundancy for data storage as well.  We are relocating our satellite office and we are now totally chartless so we will be accessing these same patient charts from the cloud, however, we won't have the ability to have the local database in the satellite office, it will strictly be the cloud version.

Thank you for the suggestion; however, this functionality is already available in Orthotrac with the use of our Patient Tracking add-in.   For more information on this, please see the knowledge article Configuring Email Add-in For Patient Tracking.   Once the add-in is installed on a PC, any emails sent from that PC will be recorded in Patient Tracking.

This may have been partially addressed in my previous reply regarding sending emails directly to patient tracking.  However, Orthotrac also already allows you to import a previously saved file (document, image, etc.)  directly into Patient Tracking.  To do so:

1.  Click Scan Document from Patient Tracking. The Select Type window is displayed.

2.  Choose the document type that you wish to scan.

3.  Click Browse.

4.  Browse to the location of the document you had previously saved and then attached to an email.

5.  Double-click the document to select it.

The document will then appear in Patient Tracking.

Orthotrac does already support this functionality.  The email address links in a patient's chart are clickable. If you click on the email address link at the top of the screen, this will create an email to the patient:

If you click on the email address link in the responsible party section, it will create an email to the responsible party.
