The request for being able to enter autopayments for frequencies other than just monthly) has been requested many times previously and is in the works for a future version of OrthoTrac. Tagging Nicole (ndraxler35) since she asked about this as well.

There are many times during the day that multiple patients are being scheduled at the same time. We have had several occasions where the same appointment is offered to two different patients at the same time, and when the appointment is finalized, one appointment can't be scheduled. This becomes frustrating when the phones and office are busy!
Is there a way to somehow block the appointment from being clicked on if someone else has already clicked on it to schedule?
When adding a new patient's RP If there is no Home phone (just a mobile) no number is pulled through nor is an email address. It would be helpful if the existing email address and the mobile were pulled through and adjusted if necessary.
Emailing x-rays and documents (which are already PDFs) should be easier than exporting and saving them to the desktop then attaching them to an email.
It would be useful if contracts could be entered as drafts and activated when the patient starts treatment. WE have instances where a patient confirms their appointment the day before and we enter the contract only to no show on the day and then cancel treatment.

We have had similar requests from offices before but unfortunately this is not possible. When an appointment is being scheduled, OrthoTrac does not actually write anything to the database until the appointment is finalized; until then, everything is kept in a temporary record just on the user's PC. Thus, we can't prevent that specific schedule slot from being written to just because somebody is currently in the process of booking it. We also can't "lock" the schedule across the board while it is being accessed by one user, because that would prevent users even from scheduling appointments in *different* slots on the same day at the same time. This would cause more problems than it would prevent.
I have rarely heard of offices who run into issues with two different people trying to schedule the same appointment slot at the same time. Those who have, have usually rectified the problem by limiting the ability to schedule appointments to only staff who are always in communication with each other (sit next to each other at the front desk, etc.), or only scheduling appointments when the patient is being checked out, or otherwise improving staff communication.

Functionality for all of these is already present in OrthoTrac.
1. During the patient add process, when adding the RP, checking the box "Patient Is Responsible Party" will pull in *all* information that was already entered for the patient. This includes all phone numbers attached to that patient as well as any email addresses attached. If this box is left unchecked it is assumed that the RP is not in fact the patient and therefore you must enter their information separately. We cannot pull in patient phone number, email address, etc., if the patient is not the RP. The boxes "Same Address", "Same Last Name" and "Same Home Phone" can be used to pull in that information which was already entered for the patient even if the RP is not the patient themselves, because all three of those items could conceivably be shared by both the patient and the RP even if they are not the same person.
When adding a responsible party after the initial patient add process, again you can use the option "Patient Is Responsible Party" to auto-load the information already entered for the patient. Again, if you choose a regular responsible party add, no information will be prepopulated by design.
2. Emailing X-rays and documents from CSOI can be accomplished by selecting the item you wish to email and then clicking the envelope icon on the CSOI toolbar. If this icon is grayed out it indicates you do not have a default email client set on the PC. Please contact Imaging Support for additional assistance with this function.
