Patient Flow

Are there any plans to make the Patient Flow HIPAA compliant? We had an OSHA/HIPAA consultant in the office the other day, and he was concerned about the potential HIPAA violation of having Patient Flow open in the operatory. Our practice uses a large monitor in the clinical area to track patient flow, and it would be great if it were the patient's first name and last initial.

Good day Angie ( @aporcaro ),

If you are talking about a workstation which is used as a clinical workstation (using one of the "Staff" display options for patient flow), it is not a HIPAA violation to display the patients' full names on the main Patient Flow window.  The "Staff" option is intended to be seen by office staff only, but even if the patients do view those screens the only identifiable info is the name. 

Workstations used as patient flow check-in screens, where the patients check themselves in, have three display settings, only one of which allows viewing of full name information:

  • Patient - Photographic - Allows the patient to select their picture to check in. 
  • Patient - Non-Photographic - Requires the patient to click on the letter that begins their first name and then select their name from a list of patients with that starting letter. 
  • Patient - Name Entry - Requires the patient to enter their full last name to check in.

The Light Bar (the separate window which displays what patient is in what chair) can already be configured to display only the patient's first name and last initial. To do so go to Maintenance, Patient Flow Options and select the Light Bar Opts tab, then select the option "Display only last initial of patient name on Light Bar".  This option is workstation specific so it would need to be set individually on every PC where this option is desired. 

If you would like to suggest that this same option be added to the main Patient Flow window itself (and this is a good idea), may I suggest that you post an enhancement requests in the Product Ideas section of our site?

The Product Ideas section can be reached by clicking the Practice Management pull-down on the toolbar at the top, then selecting "Product Ideas" at the bottom. A direct link is also available here:
