Hi Kathy, we enter the information in a financial/insurance questionnaire that we made, easy to access from pt info screen or also in the chart. Not sure if I can attach an image, but would be happy to show you what we do. - Dr. Monica

We have a detailed insurance verification form that is completed prior to the initial exam in most cases. Tat document is scanned into imaging, which makes it easily accesible. Additionally, our Insurance Verification Specialist does a great job of keeping Carrier Maintenance up to date with the details of each group plan. We use alot of abbreviations in the comments section in Carrier Maintenance to list plan details such as:

"AOB honored; IF=25% of bene then auto qtrly; TIP cvd; no wait pd; mbr/sps cvd w/no age lmt: D1515=100% primary tth only; D0330=100% q36mos"

The data field provided in Carrier Maintenance already include lifetime ortho max, ortho ded, reimbursement %, ortho age limit (the basics).  

With this we can often give someone an idea of their benefits even before we've had a chance to officially verify their eligibility and specific plan coverage.

Kathy,

Do you use an insurance call sheet to record all the benefit details? Not sure if you are paperless but the call sheet is my quick reference to the most up to date insurance info. I can quickly access the info by looking at the scan of the most recent insurance call sheet in patient tracking or the TX card. Because insurance info changes (many times with some patients) it would require some work to continually update the pop up comments. My beef with using the pop ups in this way is that they take on a life of their own and often never get removed even after the info is no longer relevant. We tend to just click past pop ups without reading them anymore if they are outdated or no longer valid. Hope this helps

Not sure if your question was directed to me, but in case it was....we don't use pop-up comments for ins info.  The comment section I was referring to is located with the Carrier Maintenance, down at the bottem. We use a standard abbreviation format and indicate certain things that we find helpful such as: if assignment of benefits is honored; how the initial fee is paid an subsequent pmts; if there's awaiting period for ortho; if tx in progress is covered; how space maintainers are covered and what are the teeth limitations, etc...

We keep the Carrier Maintenance current, but the specifics of that particular patients eligibity and remaining benefits are documented on the Ins Verif form that's scanned into their chart.
