Security Log

In Practiceworks under Security Log there is an Archive button.  What does this do?  Store all security logs to one file or folder?

The archive button does exactly that. it will take all security log items in the log and move them to an archived data file. There are a couple reasons for wanting to do this. 

1) it will reset the main security log and make it faster to filter through. So it could be worth doing a periodic archive (it will amend to the current previous archives).

2) sometimes the data file, AL.dat, get's corrupted and causes issues and doing an archive can sometimes correct it because it basically recreates the file after it has finished moving it's contents to the archive file.

you can still access the archive logs through File > security > View Archived Security log.

@jdowner Is all of the above information still correct?  Anything new we need to know about?  I'm getting ready to archive what I can (security logs, claims....is there anything else?) and need to make sure I am not going to cause any issues for us.

yes, this information is still correct.  Also, the only other items in PracticeWorks that are able to be archived is the claims list

The benefit of archiving the claims and security log is that it'll make those lists faster.   As more claims or security events get written to the data files it causes those lists to slow down.  For example, if you're scrolling down the main claims list you would experience it going not responding as it's trying to continue loading the entries.  But it takes longer and longer the more entries there are on the data file that contains the claims list.   Archiving old cleared claims will move those claim entries from the main claims list file to an archived claims list file.  This will make the main claims list have fewer or even no moments of it going not responding.  Same idea with the security log. 

To perform the archiving:

Claims:

 Starting with PW Version 9.1.0

  1. Click on List > Insurance claims > Main claims list.
  2. In the area claims to include:
    1. Click on Refused and Collected.
    2. Uncheck Waiting to submit and submitted.
  3. In the Submission method to include
    1. Click Paper Pre-D and Elec Pre-D

Personal NOTE: I usually suggest also setting the date range to show only cleared claims older than a year or two. I would use 01/01/22 as the end date. And set the start date as a date before the office started using PracticeWorks to capture all the past claims.

  1. Click Filter claims.
  2. Verify that this is the list you would like to archive.
  3. Click on Archive all and say Yes to the message.

NOTE: This can take a few minutes depending on the volume of claims and pre-determinations to be archived.

  1. Click on the X to close this window.
  2. To view the list of archived claims, click on List > Insurance claims and View Archived claims list.

Security log;

  1. Click on File > Security > View Main Security log.

NOTE: If you set and filter the security log it will only archive what is visible showing based on the filter.

  1. On the lower right click the Archive Button
  2. Click Yes to the confirmation window.

 NOTE: This can take a few minutes depending on the volume of claims and pre-determinations to be archived.

  1. Click OK on the completed dialogue box
  2. To view the list of archived security entries, Click on File > Security > View Archived Security Log
