At our practice we are offering Facial Aesthetics procedures. We have set up a separate scheme in R4 for these patients. It is a dilemma though how to create a customised recall for these patients as there currently only is 2 recall defaults you can use and they are already in use. To make R4 more versatile and future proof I would like to suggest that 1 or 2 more recall options are added in Comms > Recall Information. This will enable practices to offer services/clinicians that may require different recall intervals.
You are correct that there are only two recall types within R4, one for dentists and one for hygienists. However, it is possible to have different recall settings for each scheme.
1.From the Appointment Book click on View and then select Recall Settings from the list.
2. In the top left-hand corner tick the 'Allow Different Recall Settings Per Scheme' option.
3. Select the relevant scheme from the drop-down list.
4. Configure the settings as required.
5. Click on Apply to save the changes.
Depending upon the changes that you make, you may be asked if you want to recalculate the recall information. If you say yes then the recalculation will start straight away and may take a while to complete. If you say no then you can run this process at a time of your choosing by selecting 'Recalculate Recall Information' from the Utilities menu on the Main R4 screen.
I hope that this helps.
So if we now go on and set the setting for our Facial scheme to manual will that change any manual recall settings already made in patients records?
As we send recalls with sms a follow up question is if there is a setting making it possible to create a new dedicated sms recall message for this scheme so that we don't have to use our standard Doc Manager > Adult Template > Adult Recall Letter
If we send recalls to this scheme from view > recall patients they receive our standard sms.
I look forward to your reply.
If you set the recall style for your Facial scheme to manual it will not change any manual recall settings that have already been applied to any patient's record. However, as you are already probably, aware with a recall style of manual if the recall date is not changed by the user then there is a risk that the patient will not appear when the list of patients who are due a recall in the future is run.
Regarding your follow up question, R4 will always use the recall message (whether it is a letter, an email or an SMS) that is listed in Document Manager but it is possible for you to create a new message to replace the default one that is included with R4. However, as only one template for each method can be used at a time you would need to 'point' Document Manager to the new template each time that you wanted to use it. In addition, you would need to use a query to make sure that the only patients who were listed were the ones in the Facial scheme to ensure that they were the only ones who received this version of the recall message.
