Does anyone else have issues with the recall system?
We book a 6 month appointment for the patient when they leave obviously not everyone wants to do this and would rather a recall and also people make these appointments then cancel or forget.
There needs to be a system that picks these people up. I have been on the phone numerous times about the recall system this is the answer I got, the recall/recare springboard system will only work if no patients make appointments and then everyone just gets a letter then calls up. I don’t know any practices that do this.
Surely carestream can have a report to pick up patient that are due a 6 month exam from their last one, and if this done it could be incorporated into the springboard now the spring board for us is nil/void and pointless.
R4 picks up so much information for the springboard I feel this can’t be hard, its extremely annoying, this system is supposed to make life easier and it’s not! I was on an R4 course recently and every practice at the course had issues with recalls.
Thanks a mill,
Holly
Hi Holly,
If you are finding that R4 is picking up patients who have an exam appointment booked then it may be worth running the Recalculate Recall Information wizard, which can be found under the Utilities menu on the main screen in R4. It may take a while to run this wizard so it may be something that you want to do at the end of the day.
It might also be worth checking that the exam appointment that is being used is identified as an 'Examination' appointment by R4. Please see the attached screenshot that shows how you can check that the appointment type is flagged as an Examination appointment.

Hi liamrushton,
Thanks for getting back to me regarding the recalls, this is the exact way we do our recalls the problem is it picks up patients that have appointments in the book already?? So i have to go through each one manually, r4 then have set up a query which pulls people out if that have a pending appointment but this isn’t much help they could have a pending appointment for a number of reasons not an exam, if a query can be made to pull people out with a pending exam app this would work?
Look forward to your response.
Thanks
Holly
I have had numerous conversations with R4 about recalls. I have now disabled the automatic recall SMS as not a complete calendar 5 months before recall going out so we have gone back to doing them ourselves (as the guide above) as dentists not getting paid for early exams.
eg - if last exam was 19/10/17, SMS recall goes out 19/3/17 - not a complete 5 months - SMS should go out end of March. If someone calls on the 19th March to make exam and we have had a cancellation so fit them in, we are not paid for the exam as its too early. Reception is very busy and does not have time to check every patients last exam time. Old system better for us as we can track better.
Also, I had R4 set up a 'search/query' for any patient not been in for 7 months or more (after recall & reminder) and we use this to catch any missed exams. I also have one set up for any recalls overridden or recall dates set manually
Good Morning Holly
I have attached a guide on how to run recalls on the R4 system. This is used to find exactly what you are looking for, Patients without an appointment, and are now due (6months since the last appointment)
Once recalls have been run, you will see the "recare" section of springboard start to display information, it is for finding patients who do not respond to your recalls.
Hope this helps.
Kind regards
Liam
