Updating Appointment Fees in Softdent

I updated my ADA code fees for the annual increase. I copied the new fees to schedule "0" and ran the utility to update appointment fees and treatment plans prior to today.  The new prices are not populating into the appointments that were already scheduled.  Is there a way to do this through SD or do we have to manually change every appt?

Hello @cdamoney , I know when you change your fees via System > Fees Maintenance > Change Fee Schedule, you should get a window that asks if you would like to update existing appointment and treatment plan fees (more information here). 

@bccarestreamrep any ideas as to why the fees didn't update in appointment with what @cdamoney mentions?

Hello,

Assuming all patients with scheduled appointments are using Fee Schedule 0 and their appointments are not scheduled from the treatment plan windows, their appointments should have updated as long as the Update Fee Schedule utility ran without errors or was not force closed before completing. The only time appointments should not update are the ones on the day the update fee schedule utility were ran and ones that were scheduled from the treatment plan screen. Also, appointments with explosion codes will not update, but should post correctly when they're checked out.

All our appointments are scheduled from the treatment plans so that is why they are not updating.  Can softdent fix this to include all scheduled appointments?  I did update all the existing treatment plans as well, but it did not change any already scheduled appts.

I've been told this is by design. It "gradfathers" the already scheduled appointments to the fees they were when the appointment was scheduled. However, all software enhancement requests can be made within the exchange if you desire this to be an option in a future release of the software.

bccarestreamrep - how embarrassing.  Really.  Come on, you should know better.  This is NOT by design.  There is a utility to NOT only change the scheduled appointment fees, but also the "pending appointment" fees, the treatment plan fees - and you can pick how far back by date you want the changes to become effective.

Please get updated on your Softdent knowledge.

Appointments that are not scheduled via treatment plans should update, however, the above circumstance was mentioned that all of their appointments were scheduled already via the treatment plan screen. It is by design that those appointments not update after the standard update fee schedule utility. I am sorry if what I mentioned was confusing in any way. Dr. Cavola, you are correct by mentioning that the utility updates all of what you indicated...but it will not update appointments that were made already via the treatment plan screen. This is the only scenario that I mentioned was "by design." 

The utility that Dr. Cavola is likely referring to is not one that can be run from within CS SoftDent (like the one that was run by yourself, cdamoney). It's a standalone utility that can be provided/run by SoftDent support if you'd like to contact us. My only goal was to answer your question as to why your appointments did not update with what was already run.

Sorry, not buying the explanation.  As you can see from the Utility, the OP who asked the question CAN do EXACTLY what they wanted to do with the fees.

Let's get with the program!!

cdamoney, I'd like to make it clear that the utility that drcavola is showing you is not one that you, yourself, can run. The update fee schedule utility from within SoftDent does not have the ability to update appointments that were scheduled via treatment planning. The utility that drcavola is sending screenshots of is what we call a "standalone" utility. Since you are a cloud customer, the only people who can run this sort of utility for you are SoftDent Support Escalations representatives since this must be run on your cloud server. If you would like this run, please feel free to give us a call at 866-435-7473 x2 and request Escalations for a cloud standalone utility run to update your fees.

bccarestreamrep, Nobody gives a crap whether a user on this "Exchange" (which, btw, is supposed to be an "exchange" of ideas, not continual road blocks and incorrect answers to user's issues) is on "cloud" versus "on-premise".  ALL THEY WANT is an answer to their issue.

To date, you continue to give incorrect information.  The CORRECT answer is yes, it can be done.  If you are "one-premise" there is a utility that Support can help you download and then you can run yourself ALL DAY LONG.  If you are on the cloud, then Support needs to run it for you.  CAUTION:  DO NOT let Support run that utility on their own. Done.

My apologies .... I was made aware just a few minutes ago that the referenced utility is not common knowledge and not readily available to users.  Therefore the method of updating the fees within the Softdent program (first screen shot) does not allow one to make the requested changes ... and that bccarestreamrep is correct related to the standard and usual method to update the fees.
