SoftDent: How To Generate a Patient Visit Statistics Report

Generate the Patient Visit Statistics Report

Solution:

Use the following steps below to report the patient visit statistics

Note: In order for the Patient Visit Statistics Report to generate, Check In and Check Out must be performed via the InOffice screen.

The "Check Out" process must be completed before this report is generated, otherwise patients that are NOT checked out will not affect this report.

This report generates a list of patient appointments scheduled within a specified date range; the expected and actual patient arrival, wait, and operatory times; and calculates the percentage of patients that arrived on time.

This report used to be referred to as the InOffice Meter in prior versions of SOFTDENT Software.

Setting the Properties for the Patient Visit Statistics Report

1. From the main menu bar, select System.
2. From the System drop-down list, select Patient Visit Statistics. The Patient Visit Statistics window is displayed. (Continues at step 4)

OR

1. From the main menu bar, select Reports.
2. Select Practice Management.
3. Select Patient Visit Statistics.
4. Select Properties located on the bottom-left corner of the Patient Visit Statistics window.
5. The "Patient Visit Statistics Properties" window is displayed.
6. Type the seated late and seated very late minutes. These times are used to calculate the percentage of patients seated on time, seated late, or seated very late.
7. Type the expected number of minutes a patient should arrive before an appointment in the Patient considered tardy if not checked in minutes prior to appointment time, field. The check-in time is used to calculate the percentage of on time and late patients.
8. To exclude late patients, check the Exclude tardy patients from the computation check box.
9. Type the expected average time a patient waits before being seated in the operatory in the Avg Wait field.
10. Type the expected percentage of patients who are seated on time in the operatory in the % Seated On Time field.
11. Click OK, the "Patient Visit Statistics" window is displayed.

 

Printing the Patient Visit Statistics Report

1. From the main menu bar, select System.
2. From the System drop-down menu, select Patient Visit Statistics. (Continues at step 4)

OR 

1. From the main menu bar, select Reports.
2. Select Practice Management.
3. Select Patient Visit Statistics.
4. Select the providers and
do one of the following:

  • To generate the report for the current date, select Today.
  • To generate the report from the beginning of the current week, (Sunday) to the current date, click Week To Date.
  • To generate the report from the first day of the month to the current date, click Month To Date.
  • To generate the report for a specific date range, select the Start and End dates from the Date Range drop-down lists.

5. To generate the report, click Compute.
6. To print the report, click Print.
7. To generate the Patient Visit Statistics Detail Report, click Details.

@chriscornett  when i run this report get the message "no patients visited during this period." have it set to all providers (999). have tried lots of different date ranges. not sure why this isn't working? any insight would be greatly appreciated.
