Orthotrac - How to Access, Open and Save Files To and From Cloud - Shared Cloud Files

Please note that this knowledge article has an attached document with extensive screenshots and step-by-step instructions for moving files from and to the Cloud.  You may right-click the document link at the bottom and select Save As to save it to your computer.

 

All Cloud programs (OrthoTrac, Microsoft Word, Microsoft Access, etc.) have the ability to save files from the Cloud to the local workstation by selecting the V:\  mapped drive  (which is pointed to the C:\   drive on the local PC).  Files saved in this manner may only be accessed from the PC where they were saved.   However, in some cases you may wish to save the file to a shared location which can then be accessed from another workstation.

The solution is to use the U:\Shared Cloud Files\ folder.  This folder is considered the standard place for saving files from the Cloud when they are not being saved specifically to the local machine.  The folder is accessible when opening files or saving files from any Cloud program, but it does not appear as a mapped network drive in My Computer on the actual local workstation.

 

To open a previously saved file:


1.  Open the Cloud program used to view, create or edit a file.  You cannot access the U:\Shared Cloud Files\   folder from My Computer  -- the drive will not be listed!  It is accessible ONLY from Cloud applications.

For example, Microsoft Word on the Cloud is accessed via Start, All Programs, OrthoTrac Cloud, Microsoft Word.

2.  Click File, Open.

3.  The Open window is displayed.  In the window on the left, scroll down and click Computer.

4.  In the right window, double click Shared Cloud Files (U:\).

5.  Double-click the file to be opened.  The file will be displayed on the screen.

NOTE: You may also open files from the local PC by selecting the V:\  drive  (the V:\ mapped drive is pointed at the C:\  drive of the local computer).   Select the V:\   drive then browse to the location of the file you wish to open.   Again, the V:\  drive pointed to C:\   on the local computer is ONLY visible from Cloud applications!  It is not visible from My Computer.

 

To save a file:


1.  View, edit and create files as needed from the Cloud program.  When ready to save the file, click File, Save As.

2.  The Save As window is displayed.  In the window on the left, scroll down and click Computer.

3.  In the right window, double-click Shared Cloud Files (U:\).

4.  Enter a filename and click Save.

NOTE: You may also save files to the local PC itself by selecting the V:\   drive  (the V:\ mapped drive is pointed at the C:\  drive of the local computer).  Select the V:\ drive then browse to the folder where you wish to save the file. Again, the V:\ drive pointed to C:\   on the local computer is ONLY visible from Cloud applications!  It is not visible from My Computer.

***Please note that files saved from Cloud to the local PC's drive will be accessible ONLY from that PC and not from any other PCs.  This is why it is often best to save to U:\Shared Cloud Files\  .

 

Notes on usage of the optional Shared Cloud Files Cloud application:


Some clients need a way to view all their MS Office and Adobe Reader files in a folder and to open the files from the folder, as opposed to going through the program first as mentioned previously.  This is usually for work flow reasons or just user preference.  This feature can also be deployed when your users need an easier way to get files from their local computer onto the Cloud and vice versa.

The Shared Cloud Files application is a feature that can be deployed when needed.  Think of this application as Windows Explorer for Cloud.  It allows quicker access to the Shared Cloud Files folder in a familiar interface.   Data Services checks with new practices going live to determine if they need this feature;  however, if your office is already live on Cloud and you would like this application to be available, please contact Orthotrac Support at 866-722-2567  or  OrthotracSupport@carestream.com    to request that the Shared Cloud Files  application  be published for all users in your practice.

 

Once this feature is enabled, you will have an additional icon on their desktop and your OrthoTrac Cloud folder called Shared Cloud Files.  This Cloud application allows the user to view all of the files stored in the U:\   drive mentioned previously, in a Windows Explorer-style environment.

 

How to use the Shared Cloud Files Cloud application to Open a File
1.  Open the Shared Cloud Files Cloud app by double-clicking the icon on the desktop or going to Start, Programs, All Programs, Shared Cloud Files.

2.  A list of the files saved in the Shared Cloud Files folder is displayed.  Double-click the file to be opened.

 

To copy files from the local computer to the shared folder and vice versa:
1.  Open the Shared Cloud Files Cloud app by double-clicking the icon on the desktop or going to Start, Programs, All Programs, Shared Cloud Files.

2.  Open a second copy of the Shared Cloud Files Cloud app by double-clicking the icon on your desktop or or going to Start, Programs, All Programs, Shared Cloud Files.

3.  Arrange the two windows side by side.

4.  In one window, view the Shared Cloud Files folder (mapped to the U:\ drive).  In the other window, browse to the local computer’s drive.  The drives on the local computer show up in the following format Local Disk (C: on COMPUTERNAME). To save in a specific folder on that drive, browse to that folder.

5.  Drag files between the two windows as needed.  The normal Windows copy and paste features work as well.

6.  When finished copying, simply close any instances of the Shared Cloud Files application.
