OrthoTrac: Error (Print Letter: Letters Were not Printed Because the Patient Letter for "Letter Name" Does not Exist) When Printing Letters

When printing a letter the following error is presented:

 

 

The most common cause for the error is that the letter is setup with an addressee set to Standard and a responsible party letter has been created but the patient letter has not.  A Standard addressee means that the letter can be sent to either the responsible party or the patient and is determined by the age of the patient.    

There are three possible solutions to this problem.  When any changes are made to a letter in AWPS Letter Setup, the letter must be posted again to the patient or the changes to the letter will not print on the letter.  Select one of the solutions below then re-post and print the letter.

 

Solution 1 - Add the patient letter so that it can be posted to the patient. 

1.  Click Functions, Word Processing, Letter Setup from the main menu of OrthoTrac.

2.  Select the letter that does not have the patient letter.

3.  Click the Change Letter button.

4.  Click the Add Patient Letter option.

5.  When the Add Letter - Would you like to copy the existing letter? message is displayed, click Yes.

6.  When the letter is displayed, make any necessary changes to the letter as needed.

7.  Click File, Save to save the letter.

8.  Click File, Exit to close the letter.

9.  Click OK on the Change Letter window.

10.  If the System Update message is displayed, click OK.

11.  Click Close to close the Letter Setup window.

 

Solution 2 - Change the addressee of the letter to Patient which will then always post to the patient.  For further details see the section below titled: Section 2: CHANGE THE ADDRESSEE TO PATIENT

NOTE:  Setting the addressee to Patient will not print the letter to responsible parties only to the patients.

1. Click Functions, Word Processing, Letter Setup from the main menu of OrthoTrac.

2.  Select the letter from the Letter Setup window.

3.  Click the Change Letter button.

4.  Select Patient from the Addressee drop-down list.

5.  Click OK.

6.  If the System Update message is displayed, click OK.

7.  Click Close on the Letter Setup window.

 

Solution 3 - Change the addressee of the letter to Responsible Party which will then always post to the responsible party.

NOTE:  Setting the addressee to Responsible will not print the letter to the patient, only to the responsible party.

1.  Click Functions, Word Processing, Letter Setup from the main menu of OrthoTrac.

2.  Select the letter from the Letter Setup window.

3.  Click Change.

4.  Select Responsible Party from the Addressee drop-down list on the Change Letter window.

5.  Click OK.

6.  If the System Update message is displayed, click OK.

7.  Click Close on the Letter Setup window.
