SoftDent: How to Update ADA Code Fees, Fee Schedules, Appointment Fees, and Treatment Plan Fees

Goal:                                                                   

 To be able to update ADA code fees, fee schedules, appointment fees, and treatment plan fees

Solution:

These steps will explain the process of updating fee schedules for both single and multiple ADA codes. Updating fee schedules can affect appointments, treatment plans, or both if chosen. Appointments for the current day will not be affected.

NOTE: If a patient has previously scheduled or accepted a treatment plan containing an updated code, the fee is not updated. If the patient has DMO or Medicaid and the code in the Appointment Card window is a Bluebook code, the appointment card is not updated with the new fee.

 

Updating Individual ADA Code Fee Schedules

 

1. Click List in the main menu bar.
2. Select ADA Codes.
3. Type the ADA Code in the "Find" field and press Enter on the keyboard to begin the search.
4. Right-click the ADA code to be edited.
5. Click the yellow Scheduler/
Fees tab

 

NOTE: There are 27 updatable Fee Schedules. Fee schedule "0" is assigned to all patients by default. Fee schedules 1 - 27 are specifically assigned to patients by the user.

 

6. Modify the amounts of the fee schedules as needed.
7. Click OK. The "Update Fees Wizard" may appear (If the Wizard settings hasn't been turned off) giving the user the option to Update Later or to Update Now. If the "Update Fees Wizard" does not appear continue to the "Using the Update Fee Schedule Utility" section. This wizard will update the specific ADA code we have just edited, not all ADA codes.
8. If this is the only ADA code being modified then click Update Now.
9. Check the box to Update Appointment Fees.
10. Check the box to Update Treatment Plan Fees if desired.
11. Enter the number of days old you would like to go back for updating the Treatment Plan Fees. "0" would be today's date.
12. Enter the Before Date if you want to update fees before a certain date.
13. Select the OK button to execute the process to update fees.

 

NOTE: These prior two options are useful if an office just entered a treatment plan for a patient within 30 days and would like to honor the prices they gave that patient. However, if a patient was offered a treatment plan almost a year ago and hasn't scheduled it yet, an office may want to change the prices of the procedures.

 

Updating Multiple ADA Code Fee Schedules

 

1. Click List in the main menu bar.
2. Select ADA Codes.
3. Type the ADA Code in the "Find" field and press <Enter> on the keyboard to begin the search.
4. Right-click the ADA code to be edited.
5. Click the yellow Scheduler/
Fees tab.

 

NOTE: There are 27 Fee Schedules you can update. Fee schedule "0" is assigned to all patients by default. Fee schedules 1 - 27 are specifically assigned to patients by the user.

 

6. Modify the amounts of the fee schedules as needed.
7. Click OK. The "Update Fees Wizard" may appear (If the Wizard settings hasn't been turned off) giving the user the option to Update Later or to Update Now.
8. If all the ADA codes are being updated then check the "Do Not Display this Window Again" checkbox and click Update Later.
9. If other ADA codes need to be modified, repeat steps 1 through 8 as many times as needed, then continue to with the following section.

 

Using the Update Fee Schedule utility (within SOFTDENT)


Every ADA code
fee is updated when this utility is executed. It is not possible to exclude certain codes within this utility.

1. Click System in the main menu bar.
2. Select
Fees Maintenance.
3. Select Update
Fee Schedule. The "Update Fee Schedule" window is displayed.
4. By default
fee "0" is selected. This will update all fee schedules and all ADA codes. If necessary, select a specific code to update.
5. Check the box to Update Appointment
Fees.
6. Check the box to Update Treatment Plan
Fees if desired.
7. Enter the number of days old you would like to go back for updating the Treatment Plan
Fees. "0" would be today's date.
8. Enter the Before Date if you want to update
fees before a certain date.  
9. Select OK to execute the process to update
fees.
