Ortho starts metrics

We are trying to caculate our invisalign % in our total # of starts.

1) What are the best reports to run to give us that data?

2) if we cancel a start, how can we adjust the metrics to reflect that?

Good day Dr. Chuang ( @orthorocks ),

The answer to this will largely depend on how your practice defines "starts".  The Procedure Monitors in your Daysheet (Functions > Maintenance/Setup > Daysheet Setup > Monitors tab)  contain multiple different types of Starts, which can each be individually configured for specific procedures.  The Start categories even have a separate category for Invisalign Starts specifically.

NOTE:  Monitors can only be changed if the daysheet is empty (was recently closed for all locations).  If you get a warning when viewing this screen that the daysheet is not empty, you will be able to view settings but not change them.  To change settings, first close the daysheet for all locations and all doctors and then go back to Functions > Maintenance/Setup > Daysheet Setup > Monitors tab. 

This means that the Procedure Monitors page of every daysheet that you run (Reports > Financial > Daysheet > Process Daysheet)  will contain information on how many of each type of Start you had on that daysheet based on how many of those specific procedures were posted. 

If you are looking to determine your Starts data over a specific date range, the MTD Daysheet report (Reports > Financial > Daysheet > MTD Daysheet)  will allow you to run for a date range (just make sure to include "Monitor Recap" in the options when running the report).  The Monitor Recap page will show you how many of each type of Start you had during the time period you specified. 

Your second question, about how you can adjust the metrics if a Start is cancelled, is one that unfortunately there is no good answer for.  OrthoTrac tracks Starts via the posting of procedure codes so it is assumed that once that proc code is posted, the patient has been seen for their bonding and has begun their treatment.  There is no way to "cancel" an already-posted procedure code and so the Starts data cannot be adjusted after you have posted the procedure codes.  To ensure Start data is always accurate, procedures should never be posted "in advance" before the patient has begun treatment.
