Patient Snapshots

We have noticed that all our patient's snapshots have converted to their original photos instead of the most current ones. Is there a fix for this? I have gone in and manually changed them but I'm not certain they are staying updated.

Good day Beth Ann ( @MidwestOrtho ), 

It sounds as if your practice has changed the settings which determine what image gets used for the snapshot.  Please follow the below process to set the merge information for the Snapshot function:

1.  From the main menu of OrthoTrac, click Functions > Patient Chart > Snapshot.

2.  Select the patient from the OrthoTrac Software Patient Look-up window.

3.  Click OK.

4.  Ensure the View Snapshots For radio button is set to Patient (default).
 
5.  Click the Click to Set link under the Frontal Merge Code heading Do not click on the Frontal button.
 
6.  When the Insert Image Object window displays, click on the Visit drop-down box.
 
7.  Select Most Recent from the list.
 

(NOTE:  It is strongly recommended to select "Most Recent" instead of selecting a specific visit.  If you select a specific visit, the snapshot for a patient will only display if that patient has a visit of that exact type, and it will not be updated if there is a more recent visit unless that more recent visit is also of that exact type.  Selecting "Most Recent" will ensure the most current version of that image is always shown regardless of what visit it was in). 

8.  Click the Type: drop-down box.

9.  Select the photo type from the list.  The type may vary based on what names the doctor has his imaging picture titled.  Usually it will be either Frontal Rest or Frontal Smile.

10. Click OK.

11. If wanted, repeat steps 5 - 9 for the Lateral Merge Code heading for Most Recent Lateral Rest or Lateral Smile photos

12.  Click OK.

13.  If wanted, change the View Snapshots for radio button to Responsible Party and repeat steps 5 - 9 for Frontal or Lateral Merge Codes.

14.  Click OK.

15.  Click Close.

16.  Click OK.

17.  Click File > Exit to exit the patient's chart.

Once this setting is modified to your satisfaction it is recommended to advise staff not to go in and change this setting. 

 

NOTE: Once the Snapshot Merge Codes are set, Snapshots are automatically updated one-at-a-time when that type of Image object (ex. Frontal Smile) is saved to a particular patient's Carestream Dental Orthodontic Imaging (CSOI) function and the Ortho Imaging function is closed.   This means that in order to update the snapshot for a patient you just need to open that patient's Imaging gallery and then close it.

It's good to know that they should be set to 'Most Recent' however this is a bug that is affecting all our charts. Is there a mass way to set the system to always default to 'Most Recent'?

Good day Beth Ann ( @MidwestOrtho ),

This is not a bug -- the snapshots would have been created, or updated, based on whatever settings were set in the Snapshot - Frontal  merge code.  This is why I gave you directions on setting that option properly, to ensure that snapshots will be updated with the right version of the image going forward. If you have set this option correctly, you may update the snapshot for an individual patient by entering their Imaging gallery and exiting out of it. The snapshot will be updated at that time. 

We do have a utility which will force an update of all snapshots for all patients using the currently set code in the Snapshot function.  If you would like to have this utility run, please let me know and I will see to it that the utility is run on your application server.  Please do confirm that you have set the options properly in the Snapshot function first.
