Patient Tracking Issues

When a patient calls and needs to reschedule an appointment we click and drag the patient to the clip board, find the date and time they want to come in at and then click and drag the patient to that new date/time. When we do this it does not show up in patient tracking

After playing around with the options we found that the only way to make it show up in patient tracking is by clicking on the patient's appointment and clicking the "Red X" to cancel, make sure to copy to clip board and then finding a new time and date. This way shows up in patient tracking.

When looking at the Help section in Orthotrac it tells us that we can click and drag and this will all be tracked in tracking. (SEE BELOW-copied from help section, see bold)

So is this an issue that will be fixed? It seems like more steps to have to cancel (Red x) instead of just clicking and dragging to the clip board. Its important to have all these changed appointments in tracking for us. 

 

 

 

 

 

To use the drag-and-drop feature:

  1. Open the scheduler and click on the scheduled appointment you want to move.

  2. Drag the scheduled appointment over a valid drop area (either the clipboard or any appointment space where you can normally schedule an appointment), and the mouse icon changes from a "no drop" icon to a "can drop appointment" icon.

If you attempt to drag an appointment to a no-drop area, the drag is canceled. The appointment remains in the clipboard or on the schedule, depending on where the drag was started.

  1. When you have moved the appointment to the new location, release the mouse button. The Schedule Appointment window is displayed.

All appointment information including procedures and doctor time is transferred. Information in the Doctor and Location fields is not transferred because these fields are controlled by the schedule being displayed.

If the Schedule Doctor or Schedule Location has changed, the Schedule Appointment window displays a message in red text. Move the mouse over the text to display a tooltip that describes the change.

Floating your mouse over the Location has changed message displays a tooltip that reads The schedule location has changed from Marietta to Atlanta.

  1. Click OK.

After dragging and dropping an appointment and clicking OK, the original appointment is deleted from the schedule, and the new appointment is written. Patient Tracking is updated with the changed appointment entry.

If the appointment is on the current day or moved from the current day, Patient Flow is updated in the same way it would have been if you had changed the appointment.

Prior to version 15.0, appointments rescheduled through use of the Clipboard, or through drag and drop, could and did create proper entries in Patient Tracking.  The issue you describe is a defect found in versions 15.0.0.286 and 15.1.1.4, which has been corrected in the upcoming version 15.1.3.23.  This version is being pushed to our OrthoTrac Cloud clients now and is expected to be available for locally hosted clients within a few weeks. 

In the meantime, the workaround is to cancel the existing appointment completely and schedule a new appointment from scratch in a different slot. (Using the Clipboard to reschedule will seemingly create the needed entries in tracking but if you look carefully at the entries you will see the line stating "appointment changed" has the same date and time for the "changed from" and "changed to" sections).  Until the new version is available the only way to get correct entries in Tracking is to cancel the appointment and reschedule in a new slot. We apologize for any inconvenience.
