Cloud: Setting up Outlook Cloud
Please follow the steps outlined below to setup your Outlook 2016 Cloud software. This setup is required if you wish to email from your software.
This same information is also available in the attached PDF for future use.
It is recommended to have your IT or your Email host perform or assist with this setup.
Required Information for Configuration
The information below is required to configure Outlook with any Email account.
- Email Address
- Email Address Password
- Gmail, Yahoo and Office365 require 2 Factor Authentication (2FA) and an App Password
- Email Host (eg. Gmail, Yahoo, Office365 etc)
- Email Host’s Incoming and Outing Mail Servers
- Email Host’s Server Port Numbers and Encryption Type
Setting up 2FA and Creating an App Password
If you are needing to setup your 2 Factor Authentication and App Password, please follow the appropriate link below if you are using Gmail, Office365 or Yahoo. Otherwise please contact your email host on the requirements for 2 Factor Authentication/App Passwords and Outlook.

Email Host Incoming\Outgoing Mail Servers and Ports\Encryption Types
Below is the information for the main three email hosts; Gmail, Office365 and Yahoo. If you are not using one of these three then please contact your IT and/or their Email Host to gather this information.
Gmail
Incoming Mail Server: imap.gmail.com
Outgoing Mail Server SMTP: smtp.gmail.com
Incoming Server Port\Encryption Type: Port 993, Type SSL
Outgoing Server Port\Encryption Type: Port 587, Type TLS
Office 365
Incoming Mail Server: outlook.office365.com
Outgoing Mail Server SMTP: smtp.office365.com
Incoming Server Port\Encryption Type: Port 993, Type SSL
Outgoing Server Port\Encryption Type: Port 587, Type TLS
Yahoo
Incoming Mail Server: imap.mail.yahoo.com
Outgoing Mail Server SMTP: smtp.mail.yahoo.com

Configure Outlook Cloud
Configuring Outlook with an Email Account
Before following these steps please follow the "Required Information" section.
- Open Citrix Workspace, expand “Apps” on the left, select “All Apps” and launch “Outlook 2016”.
- Select “Next” on the “Welcome to Outlook 2016” window.
- Select “Yes” to set up Outlook then select “Next”.
- Select “Manual setup or additional server types” then select “Next”.
- Select “POP or IMAP” then select “Next”.
- Change “Account Type” to be IMAP.
- Fill in the information the select “More Settings”.
- Your Name: The name displayed when you send emails
- Email Address: Desired email account you wish to setup
- Account Type: IMAP
- Incoming Mail Server: Email host’s specific URL
- Outgoing Mail Server: Email host’s specific URL
- User Name: Enter the full email address
- Password: Email account password or app password
- Check “Remember Password”
- Select the “Outgoing Server” tab then check “My outgoing server (SMTP) requires authentication” and leave the option below as “Use same settings as my incoming mail server”.
- Select the “Advanced” tab and first select the Encryption Type from the drop down then set the Port numbers and then select “OK”.
- Review that all the information is correct and select “NEXT”.
- Outlook will perform a test to ensure the Email account is setup properly.
- If the status for both tasks show as “Completed” select “Close”.
- If the status for either or both tasks fail or you are prompted to enter the email credentials then review that all settings are correct and that you have used an App Password for any Email host that requires this.
- Once the testing succeeds select “Finish”, your Outlook is now configured.
