Issue:
In version 14.3.0.186 the Notes tab of Charting was redesigned and now features a separate entry for each note entered. However, clicking the “Save Note” button in this new feature will cause the “Save” and “Save and Close” buttons at the bottom of Charting itself to not work, and so any information entered in other areas of Charting (for example, in the Tx Card tab’s “Today’s Visit” section), unless it is manually saved by clicking the “Save” button at the bottom of Charting BEFORE moving to the Notes tab, will be lost when the “Save Note” button in the Notes tab is clicked.
Please note that this issue was discovered two weeks after the initial release of version 14.3.0.186 and the release was immediately put on hold until a correction could be made. The final version 14.3.0.186 release corrects this issue and is being sent to duplication as of April 22nd, 2019. Clients who received the version 14.3 release prior to this can contact Support to request the fixed TreatmentCard.exe version 14.3.0.187 file. If the TreatmentCard.exe in the \OMS folder shows version 14.3.0.187 when you right click it and select Properties, Details, then the correct file is already present and no replacement is needed.
Details:
Possible data loss can occur if you enter data into other sections of Charting (for example, in the "Today's Visit" section of the Tx Card tab), and then do not manually save that information before moving to the "Notes" tab.
Example steps to recreate issue:
1. From the main menu of OrthoTrac, select Functions, Patient Chart, Open Chart.
2. Select any patient from the patient lookup.
3. Select Functions, Charting, Edit Charting.
4. In the "Today's Appointment" section, click the "Add" button in the "Procedures" area.
5. Double click any procedures on the left side to add them to the right side then click OK.
6. In the "Today's Visit" section, enter treatment notes.
7. WITHOUT clicking the "Save" button at the bottom of the Charting window yet, click the "Notes" tab at the top of the Charting window.
8. Enter any information into the Notes box.
9. Click the "Save Note" button below the Notes box.
The Note then saves successfully; however, the "Save" button at the bottom then becomes grayed out and inaccessible. Once this occurs, clicking "Save and Close" will also do nothing. Clicking "Save and Close" at that point will cause the "Today's Appointment" information entered in steps 4-6 to be completely lost and there will be no visual indication that this has happened until Charting is reopened for that patient.
Solution / Workaround:
Please note that this issue was found only in the initial release of version 14.3 of OrthoTrac and was immediately corrected in the final release, version 14.3.0.186. If you are one of the few clients who received the initial 14.3 distribution prior to the fix, please contact Support to request the fixed TreatmentCard.exe, version 14.3.0.187. If this is not possible for whatever reason, please see below for the various workarounds.
1. Before clicking on the “Notes” tab, click the “Save” button at the bottom of Charting to save any currently entered information in any other tabs that you are working in (particularly the Tx Card tab). Once that is done, you can add Notes in the Notes tab without losing other information.
OR
2. Enter information in other tabs of Charting (including the Tx Card tab), then click the Notes tab and enter information in the Notes box, then WITHOUT clicking the “Save Note” button in the Notes section, click the “Save” or “Save and Close” buttons at the bottom of the Charting window. This will cause both the Notes entry AND any other information you have entered in Charting to save successfully, and it also requires fewer mouse clicks.
OR
3. Enter information in other tabs of Charting (including the TX Card tab), then click the Notes tab and enter information in the Notes box, then click the “Save Note” button in the Notes tab. At this point the “Save” button at the bottom of Charting will gray out. DO NOT click the “Save and Close” button at the bottom, but instead click the “Tx Card” tab to reactivate that tab, then click in the “Today’s Visit” section and enter some new information (simply pressing the Space Bar on the keyboard will do). This will cause the “Save” button at the bottom of Charting to reactivate and then you can click either “Save” to save your visit information immediately, or “Save and Close” to save the entry and close Charting.
