Hygienist Recalls

How do you manage Hygienist recalls that might be on a different cycle to Dentist recalls? eg: patient sees their dentist every 12 months, but needs to see the hygienist every 3 months? We use the recall expert to make appointments each month for dentists, but have recently started making next recall appointments at the time of patient check out.   Would love to hear what works for you.

We have used the appointment expert since we started with PW in 2003 and love it.  In regards to hygiene appointments - we set their recall on the Page 2 of the clipboard - standard/default is 6 months but if they need 3 or 4 or even 9 or 12 months - it's set accordingly here.  We do get some patients that do request an exam only once very 12 months.  In those cases we set their recall on Page 2 to as 3 or 4 months but attach yellow sticky note to their clipboard that appears at "making appointment", "on route slip" and "check-out" that states they are on whatever recall cycle but only want one exam per year (typically x-rays are done with exam also so that it noted as well.) The message is seen by the front desk on the route slip and gets highlighted for the hygienist to see.  It also is seen when the patient leaves the office (thankfully most of our patients schedule their next recall before leaving) or if they receive a reminder post card and call in for their appointment - at either time it pops up when you try to schedule.  Keeping track of when the exam is due is a joint effort between the front and hygiene.
