Insurance/Statements

Hi All!

Since the pandemic, our office manager/insurance coordinator has left our office. I am now taking over her role with zero training. I have SOME knowledge regarding insurance copays, NEA, submitting transactions to put in batch, etc. Any tips or advice, beyond what is listed below is also much appreciated.

My Questions:
1. How to send statements? How often?
2. How to batch insurance? How often? 3. How to follow up on outstanding claims...claims over 30 days.
4. Who has balances so I can make collection calls?
5. How to make sure I don’t miss “submitting” anyone
6. Do statements automatically get sent after I send the first one?
7. How to tell if I need to print a claim because it will not go electronically?

My Questions:
1. How to send statements? Reports>Accounting>Paper>Statement Preview>Statements How often? Weekly
2. How to batch insurance? The Short answer is, if you are submitting electronic claims through SoftDent, they go into the batch automatically. How often? After every single claim, they will be added to the batch, at the end of the day, you will load, validate then transmit.

  1. How to follow up on outstanding claims...claims over 30 days. Weekly
    4. Who has balances so I can make collection calls? You will need to run the Account Aging Report.  Reports>Accounting>Account Aging Report>ok, Click Show details>OK to Print
    5. How to make sure I don’t miss “submitting” anyone?  Run the Un-submitted Claims Report, Reports>Practice Management? Insurance> Un-submitted Claims, OK, Enter date range 01/01/2000 thru today’s date.
    6. Do statements automatically get sent after I send the first one? No, you will need to generate the statements, weekly.
    7. How to tell if I need to print a claim because it will not go electronically? If it is set to go electronically, you will be prompted to submit it electronically, if not you will be prompted to print it.

Wendy would be an excellent trainer and source to get you squared away. This would be best to do 1 on 1 to get the most out of the session.
